Registration Information

Direct Data Entry in the ProviderOne Portal

Attention WAMedWeb users:  WAMedWeb claim entry will not end on December 6, 2009. WAMedWeb will end when ProviderOne is implemented in 2010. For the most current implementation information, visit our projected schedule page.

To minimize effort for providers and staff, DSHS moved existing provider records from the old Medicaid payment system to ProviderOne. Information on this page is specific to providers who will be using direct data entry in the ProviderOne portal for transactions including billing (similar to WAMedWeb today).  If you will not be doing direct entry, please click here to visit our Registration page.  Your registration activities may be different based on how you bill DSHS.

  Prepare for Registration

Step 1

Set up your staff who need access to ProviderOne

The security access and passwords used today in WAMedWeb will not work in ProviderOne. All staff who currently use WAMedWeb and plan to do the same transactions in ProviderOne need new security access, logins and passwords to:

  • Look up new ProviderOne client ID numbers
  • Check client eligibility
  • Submit or check claims status
  • Complete ProviderOne registration and maintain your DSHS provider file
  • Access your Remittance Advice (RA) to know what you have been paid.  RAs will only be available electronically once ProviderOne is operational.  DSHS announced this cost reduction measure in May (see numbered memo 09-19).

Security Spreadsheet Option:  To expedite the process, please complete a security spreadsheet for each "pay to" NPI that includes all users and the access they need. Use the links provided below for this option:

Step 2

Learn how to complete registration in ProviderOne

DSHS periodically schedules training webinars for providers. Dates and time will be posted on the Training page when available. During webinars, DSHS explains "how to" while providers view the actions taken and have an opportunity to ask questions.

Ten Common Problems Providers Face in the Registration Process
Please read this tip sheet for some answer to some common problems.

Step 4

ProviderOne users obtain log on and password

  • Obtain your log on and password information from your Security Administrator.

Step 5

Register in ProviderOne

  • Register your Group.  You should focus first on the information associated at the organization level that could affect our ability to pay you.

  • Register servicing providers.  Once you have completed registration for the organization, you should complete registration for performing providers associated with your business.  You will eventually need to complete registration for all of your performing providers.

  • Don't forget to select the "submit" button once you've completed registration!  Once you select submit, DSHS will be prompted to review your registration and any changes you may have made to your provider file.
