What
is the deadline for registration?
Q: What is the deadline
for registration?
A: To ensure continuity in payment, DSHS recommends you complete
the following readiness activities before go-live so you are prepared
to focus on ProviderOne system training and final transition activities.
1.
Set
up your staff who will need access to ProviderOne
registration, maintaining any changes to your provider file, checking client
eligibility, accessing remittance advice, reviewing and adding DSHS taxonomies,
and submitting transactions. For more information and to get started,

2.
Complete
ProviderOne registration for each "pay to"
NPI to ensure we have the correct information that could affect payments.
You should verify information on where your payments will be sent and report
missing data such as NPIs. You should also indicate how you will bill
DSHS so we know if you will need a Trading Partner Agreement. You can
also learn the DSHS taxonomies associated with your organization and add
additional taxonomies you will need for billing us. Specific registration

3.
Learn
how you can retrieve the new ProviderOne client ID numbers before and after

Modify
and test HIPAA batch files to ensure formats comply with the new ProviderOne
requirements. All transaction types must successfully test before you can
submit or receive transactions – including batch eligibility inquiries
(270/271). Providers who have started testing are experiencing high rates
of first time failures. It's critical file
structures and systems are modified and pass testing so you can get paid in
ProviderOne. Each transaction type has a HIPAA Companion Guide with
instructions on modifying files and testing. We strongly urge you to
carefully read and follow the Companion Guides to be successful. The

Q: We
raised a concern about whether DSHS has addressed the issue we’ve already
experienced with registering users. When we registered a group of 15 users, we
were sent 30 separate envelopes. Fifteen had welcome letters, and 15 had
passwords. There was absolutely no way to link which password went to which
user, since they all came to the same address. Before we register 300 users, we
want to be sure we aren’t going to get this repeated with 600 pieces of useless
mail.
A: DSHS has
changed to an email process for notifying users of their domain name and
password. When you add a user to ProviderOne, you are required to enter an mail address. Once you add the user, an email is sent
almost immediately to the email you provided with the domain name information.
Within about five minutes, a second email with password information is set. If
you are setting up multiple users to the same email address, you can match the
domain and password emails by the identical reference number in the bottom left
corner of the email.
